This notice explains what personal information we hold about you and your child, why we hold it, who we share it with, how long we keep it and what you can ask us to do about it. We are the data controller for this information.
We are an Ofsted-registered childcare provider (registration 2790677, setting URN 2790678).
Tuition Republic Ltd is registered in England and Wales, company number 14776124. We are registered with the Information Commissioner’s Office as a data controller, registration reference ZB625718.
What we collect
When you book a free assessment. Your name, email address, mobile number and home address; your child’s name, year group and school; the subjects you are interested in; how you heard about us; and anything else you choose to tell us in the notes on the form.
The notes box is optional. Some parents use it to tell us about a learning need, a diagnosis or a health condition so that we can teach their child properly. Information like that is treated as special category data and we only record it because you have chosen to give it to us. You do not have to.
While your child attends. The sessions they are booked into, attendance, the results of assessments, and short notes on progress written by their tutor.
When you pay. Your Direct Debit instruction, which is set up and held by GoCardless, and our own record of what has been invoiced and paid. We do not see or store your full bank details or card number.
When you contact us. Emails, text messages, WhatsApp messages and notes of phone calls.
When you visit our website. Cookies and similar technology used for analytics and to measure our advertising — see Cookies and our website below.
Why we use it, and our lawful basis
- To teach your child and run the sessions — because we have a contract with you.
- To contact you about bookings, assessments, timetables and closures — because we have a contract with you. These messages are not marketing and you cannot opt out of them while your child attends.
- To take payment and keep our accounts — contract, and our legal obligations to HMRC.
- To keep children safe, and to meet our duties as an Ofsted-registered provider — legal obligation.
- To send you marketing emails — only where you have given consent. You can withdraw it at any time.
- To write to past families by post — our legitimate interest in keeping in touch with families who have used us before. You can ask us to stop at any time.
- To record a learning need or health condition you have told us about — your explicit consent.
- Website analytics and advertising measurement — consent.
Information about children
We hold information about children because we teach them. It is given to us by a parent or carer, not by the child.
We do not publish it, we do not sell it, and we do not use children’s information for marketing. Our staff see only what they need in order to teach your child. Photographs of children are never taken or used without the written permission of a parent or carer.
Who we share it with
We do not sell your information to anyone. We use the following service providers, who process information on our behalf and under contract:
- GoCardless — Direct Debit payments.
- Intuit Mailchimp — sending email, where you have opted in.
- Webex Interact — sending text message confirmations and reminders about assessments.
- Google — Google Workspace for our own records, and Google Analytics and Google Ads to measure how our website and advertising perform. Where a booking comes from an advert, a scrambled (hashed) version of the email address or phone number you entered may be sent to Google so that the booking can be matched to the advert. Google cannot read the original address or number from it.
- IONOS — our website hosting and our email.
We will also share information where the law requires it or where a child may be at risk of harm — for example with Ofsted, with the local authority’s safeguarding team, or with the police. We do not need your permission to do this, and we may not be able to tell you that we have done it.
Where it is kept
Most of our information is held in the United Kingdom or the European Economic Area. Some of the providers listed above are based in the United States. Where information is transferred outside the UK, it is protected by the safeguards UK law requires, such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
How long we keep it
- An enquiry that did not lead to a booking — 12 months.
- An assessment that was booked but not attended — 12 months.
- Records of a child who attended — three years after their last session, then deleted.
- Accounting and payment records — six years after the end of the financial year they relate to, because HMRC requires it.
- Safeguarding records — kept for as long as our safeguarding policy and our duties as an Ofsted-registered provider require, which may be longer than the periods above.
- Marketing contacts — until you ask us to stop, and then we keep only enough information to make sure we do not contact you again.
Your rights
You can ask us to:
- give you a copy of the information we hold about you or your child;
- correct anything that is wrong;
- delete information, where we do not have a legal reason to keep it;
- stop or restrict how we use it;
- send a copy to you or to someone else in a portable format;
- stop sending you marketing, which you can ask for at any time and we will act on straight away.
Where we rely on your consent — for marketing, for website analytics, or for recording a learning need or health condition — you can withdraw it at any time. That does not affect anything we did before you withdrew it.
To ask for any of this, email info@tuitionrepublic.co.uk or call 020 3727 2571. We will respond within one month. There is no charge.
Marketing, and how to stop it
We send marketing emails only to people who have opted in, and every one of them has an unsubscribe link at the bottom.
We sometimes write by post to families whose children have attended in the past. If you would rather we did not, email info@tuitionrepublic.co.uk or call 020 3727 2571 and we will remove your details.
Cookies and our website
Our website uses cookies and similar technology for two things: to understand how the site is used (Google Analytics), and to measure which adverts lead to a booking (Google Ads). These are not needed for the site to work.
You can block or delete cookies in your browser settings. Doing so will not stop you using the site or booking an assessment.
If you are not happy
Please tell us first — email info@tuitionrepublic.co.uk or call 020 3727 2571 and we will try to put it right.
You also have the right to complain to the Information Commissioner’s Office, which is the UK regulator for data protection. ICO helpline 0303 123 1113, or ico.org.uk.

We will update this page when what we do with information changes. If the change is significant we will tell families directly.
